Location: Singapore
RESPONSIBILITIES
- Providing general office management and facilities management services, include but not limited to organizing catering requirements, hospitality events, travel, obtaining visas, booking all associated accommodation and health screening checks and ensuring equipment is available and functioning in destination locations such as IT, phones and bank accounts.
- Coordinate office move and renovation when required
- Coordinate travel arrangements and monitors on-going logistics for all designated business travelers using firm's policies and tools to ensure travel efficiency.
- Organize and coordinate internal and external meetings and conference calls (i.e. scheduling meetings with professionals from all other offices including preparation of materials and presentations, general hospitality, catering)
- Onsite HR support including new staff's onboarding and offboarding
- Manage calendars and make appropriate Outlook invitations.
- Update and revise internal team documents, spreadsheets, and databases
- Support business VISA application or renewal
- Work with Finance team as needed for timely payments of invoices
- Assist in a wide variety of projects and other reasonably related duties as assigned
- Ability to work independently with minimal supervision with strong follow-through skills
- Cover front of house and other administrative colleagues when required
- The role may be required to undertake additional work and duties commensurate with the candidate's skills, ability and position
REQUIREMENTS:
Experience (essential to any successful application)
- 10 plus years proven work experience as an office manager, executive assistant, finance administrator or similar role within financial services.
- Exudes professional discretion at all times.
- Ability to multitask and prioritize tasks for the CEO/executives and juggle multiple urgent tasks
- Excellent time management skills with the ability to perform under pressure and meet deadlines.
- Well-developed organizational skills.
- Works well in a team environment and with upper management.
- Great service-orientation and to be a good team-player, highly organized, responsiveness, proactive mindset, details-oriented and willingness to go the extra mile
- Ability to work independently with minimal supervision with strong follow-through skills
- Tertiary education in reputable schools, Bachelor degree or equivalent in a relevant administrative/financial field preferred
- Excellent written and verbal communication skills
